Start with the data that keeps the business running
Not every file has the same value. A backup plan should begin by identifying what the business truly needs to operate:

- Farm, workshop or operational documents
- Important email exports or mailbox data
- Shared folders and project files
- Website, database or application files where relevant
Once the critical data is known, you can decide how often it should be backed up and how quickly it must be restored.

Ransomware does not only lock the files on one computer. It can spread to shared folders, mapped drives and any backup location the infected user can access. That is why a backup strategy needs versioning, access control and copies that cannot be easily overwritten by the same attack.
A good setup should help answer these questions:
- Can we restore yesterday’s clean version of this file?
- Can ransomware reach and encrypt the backup?
- Will we notice if backups stop running?
- How long would recovery take after a serious incident?
Backups should be monitored
A backup that silently fails for three months is not a backup plan — it is a surprise waiting to happen. Small businesses often discover the problem only when they need to restore something.
Monitoring helps confirm that backup jobs are completing, storage is not full, and important devices are still included. It also creates a support workflow when something fails, rather than relying on someone to remember to check manually.
Test recovery before you need it
The only way to know whether backups work is to test a restore. This does not always mean restoring the entire business environment. Even a scheduled test of a sample folder, accounting file or user document can reveal issues early.
Restore testing checks whether:
- The right data is being backed up
- The backup is readable
- Permissions and passwords are available
- The recovery steps are understood
- The restore time is realistic for the business
A simple small-business backup checklist
- List critical systems and files. Know what must be protected first.
- Use more than one backup location. Keep at least one copy away from the device or office.
- Protect backups from ransomware. Avoid backup locations that every user can freely modify.
- Monitor backup jobs. Failed backups should trigger action.
- Test restores. Prove that recovery works.
- Document the process. Make recovery possible even when the usual person is unavailable.
Backups are part of business continuity
Backups are not only an IT task. They are part of keeping the business open when something goes wrong. A laptop can be replaced, but the accounting data, quote history, client documents and operational files may be much harder to recreate.
The right plan depends on how the business works: which devices store data, whether staff use cloud services, how email is handled, and what downtime would cost.
